If you like putting out fires while remaining calm and flexible in the face of ever-changing priorities and needs, then this is the role for you. We are looking for an Administrative Assistant who enjoys working in a fast-paced environment and thrives on streamlining chaos. You will primarily provide dedicated administrative assistance to several department heads, while also providing general backup support to the Executive Assistant of the Executive team. You’ll be responsible for handling multiple calendars; including resolving over-lapping commitments and protecting time for priorities. You’ll master managing and reconciling expense reports and purchase requisitions submissions. You will own coordinating all travel arrangements, meetings, vendor/customer reviews, and special events such as department all-hands or off-sites. You’ll develop and manage meeting communications and cadence activities. Also, you will handle any special projects for and with the senior staff. More about youIn this role, you need to be a duck. You are sharp, good-humored, flexible to changing environments, and are able to switch directions quickly. You are detail-oriented and self-driven. We would love it if you had 4+ years of experience supporting a senior level executive or similar. And, if you’ve supported multiple people at the same time previously, that is even better. You are a top-notch communicator, both written & verbal. You are a pro at Microsoft applications including Outlook, Word, PowerPoint and Excel. You are an expert in Google Calendar. However, you are willing to learn/adopt new office and software technologies. You have demonstrated an ability to be proactive, exercise good judgment, and uphold discretion and confidentiality in all tasks. You are also highly capable of operating as a key connection within and outside of an organization, promoting the goals and objectives of the senior management team.
