Senior Manager - Americas Accounting and Shared Services
Reporting to Box's Controller, the primary function of the America's Accounting and Shared Services leader is to effectively build, lead and manage a multi-location department which is responsible for the processing, accounting, reconciliation, analysis and compliance associated with the Americas general accounting and shared services functions. This includes procure to pay, fixed assets, prepaids and accruals, accounting for bank accounts, corporate cards, allocations and employee travel and expense reimbursement. The existing role also currently includes global commissions, month-end close management revaluation, consolidation and internal financial reporting; however, plans are to transfer these areas of responsibility elsewhere within the team in short term. The department is still essentially in a start-up stage; but, with a rapidly growing business, will need to continue quickly ramping up to encompass best in class, people, processes and systems to effectively meet the current and forward looking needs of the company. The department is also closely involved in collaborating with the other Controllership functions, including our EMEA team, as well as Strategic Planning and Analysis, the People Organization, Facilities, Legal and various business units.
Responsibilities
- Effectively build, lead and manage a team, consisting of and leveraging world class tools, processes, and personnel, to deliver against the responsibilities and objectives of the department.
- Effective, accurate, timely and efficient processing of fixed assets, accounts payable, prepaids, accruals, other assets and liabilities, travel and entertainment, corporate cards, allocations and other general bank disbursements for the Americas (collectively, the “Shared Service Functions”).
- Effective, accurate and timely recording to the G/L and other books of record of all Shared Service Functions. This includes the ability to analyze the accuracy of Shared Service Functions expenses and related balance sheet accounts in the G/L and report out monthly on the accuracy of the results and explain any large or unusual fluctuations.
- Effective, accurate and timely reconciliation of all Shared Service Functions balance sheet accounts, including timely and accurate clearing of related reconciling items, in accordance with Box policy, to ensure accurate financial results in the G/L. For clarity, this includes all Americas bank and investment accounts as well as other assets and other liabilities accounts including acquisition related accounts such as goodwill and identified intangibles.
- Oversee root cause analysis of recurring reconciliation issues and recommend and influence the implementation of process improvements and tools solutions to correct and mitigate these.
- Steward global allocations. This includes coordinating with SP&A, the external reporting team and the Business Systems team to ensure we have a repeatable, consistent compliant and accurate allocation methodology. Oversee the monthly allocation calculations and recordings ensuring inputs and results are consistent, appropriate and accurate and that the results in the G/L are reasonable and that any material fluctuations are explainable.
- Effectively serve as the lead interface for all Shared Service Functions matters for the auditors. Including accurate and timely preparation of and explanations for all audit related requests. Collaborate closely with other Controllership teams for effective and timely identification of, and accurate preparation and filing of, all Shared Service Functions compliance requirements (e.g. local business and personal property tax filings) for all applicable jurisdictions.
- Oversee the implementation, maintenance and recurring optimization of tools, processes and readout and escalation strategies to effectively monitor and communicate the “health” of the Shared Service Functions. Process should be such that critical issues are detected, analyzed, escalated if required, and ultimately resolved timely with minimal impact to the financial statements and actual results reporting process. Process should also provide Box with a quantitative basis for identifying and assessing the financial impact of sub-optimal processes in the Shared Service Functions and identifying and prioritizing recommendations for improvement.
- Build a network of peers and participate in industry groups to establish a benchmark for “best in class” Shared Service Functions efficiency and effectiveness. Develop and drive a vision and detailed roadmap to ensure Box Shared Service Functions meet current and future business needs and stay competitive with “best in class” standards. Actively participate with the wider Controllership team in driving the Finance Systems roadmap, appropriately prioritizing initiatives and helping to ensure automated solutions for Shared Service Functions are implemented timely and effectively.
- Effective collaboration with other Controllership functions, including our EMEA team, as well as Strategic Planning and Analysis, the People Organization, Facilities, Legal and various business units on Shared Service Function matters with cross functional impact. This specifically, but is not limited to, new data center or corporate locations, acquisitions, system implementations, market expansions or other matters which impact Shared Service Functions processes. Influence the outcome to optimize the trade-off between stakeholder satisfaction and time to market with the Shared Service Functions needs for effectiveness and efficiency of processing and reconciliation.
- Assist with or be responsible for other duties and ad hoc projects as assigned.
Qualifications
- BA degree in Accounting or Finance
- CPA a strong plus
- 10 or more years relevant work experience in general accounting functions including procure to pay, fixed assets, general ledger accounting and travel and expense.
- Previous shared service center experience a plus.
- 5 or more years of leadership and management experience with proven results for building and leading highly effective teams.
- Experience with multi-entity and global corporate structures
- Experience with multi-currencies
- Power user level experience with ERP systems. Prior NetSuite experience a plus.
- System and process architecture, troubleshooting, reengineering and mapping a plus
- Project team level participation in new systems implementations a strong plus
- Experience with recurring metrics tracking and analysis a plus
- Interacting with external parties including auditors and other service providers.
- Presentations to senior and executive management a strong plus.
- Stand out leadership and effective team and individual management practices.
- High-functioning, working knowledge of relevant accounting practices and procedures including GAAP. Though this is not a technical accounting team role; a qualified candidate will have commanding knowledge, skills and abilities with accounting.
- Solid reconciliation and accounting process knowledge including comfort with multi-entity and multi-currency environments.
- Strong system and data flow knowledge. Ability to learn and adapt to new flows and software technologies.
- Strong analytical, research, problem solving and evaluative thinking skills.
- Acute attention to detail and well developed organization and time management skills.
- Well-developed sense of urgency and follow through.

- This position will require regular travel on a minimum of quarterly basis to our Austin location and may also require travel to other business locations from time to time.
